Job Description

Our client, a law firm ranked nationally by the most respected industry guides, is seeking an Information Governance & Records Manager to oversee and manage the firm's records management programs and related information governance functions. Reporting directly to the Chief Information Officer, the Manager will be responsible for developing and implementing policies, procedures, and best practices for the firm's electronic and physical data. Key responsibilities include managing the lifespan of records, collaborating with the office of the General Counsel, and ensuring compliance with records retention and information security policies. The ideal candidate will have a bachelor’s degree, significant experience in a law firm, and strong leadership skills. Candidates with an Information Governance Professional (IGP) certification or a data privacy qualification such as CIPP/US will move to the front of the line. 

SUMMARY: 
The Information Governance & Records Manager will oversee and manage the Firm's records management programs and related information governance functions. The Manager will report to the Chief Information Officer to effectively develop and implement policies, procedures and best practices for the Firm's electronic and physical data, both on site and off. The Manager will be responsible for the lifespan of records management, from new business intake through disposal. They will also need to collaborate with the office of the General Counsel, depending on the needs of the projects. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 
  • Oversee the lifespan of records management, including managing inbound and outbound electronic and physical records in connection with lawyer arrivals and departures; file transfers to clients, co-counsel and other outside related parties; as well as internal file retrieval and transfers.
  • Monitor the Firm's records management programs to ensure efficiency and compliance with records retention and information security policies.
  • Examine eligible matters and content, eliminating those which are not suitable for retention or transfer and identifying those which will remain permanent records.
  • In consultation with the Firm’s Co-General Counsel, develop and implement policies and procedures to support the Firm's information governance efforts, including records risk management and retention and destruction programs. 
  • Working with the Co-General Counsel and Privacy and Data Security partners, identify potentially applicable information management and data protection laws and regulations, as well as individual client requirements through Outside Counsel Guidelines, and implement actions to ensure compliance. 
  • Manage third-party vendor relationships for the Information Governance and Records department, including relationship with off-site storage and Records management software.
  • Review, troubleshoot and provide recommendations regarding software application enhancements for the Information Governance and Records department.
  • Work closely with Co-General Counsel and other departments in the implementation of Legal/Administrative Holds.
  • Stay current with leading industry best practices and new developments in information governance and records management. Provide training to attorneys and members of the Information Governance and Records department as needed.
  • Manage members of the Information Governance and Records department.
QUALIFICATIONS, SKILLS AND COMPETENCIES:
  • Bachelor's degree is required - preferably in information management, information technology, library science or related field.
  • Information Governance Professional (IGP) certification is desirable.
  • A data privacy qualification such as CIPP/US is desirable.
  • Significant previous experience required, preferably in a law firm.
  • Supervisory experience is required. 
  • Strong understanding of regulatory and industry best practices in electronic records management and repositories. 
  • Strong computer and database skills, including experience utilizing legal-specific records management systems.
  • Strong strategic, interpersonal, and organizational skills required.
  • Excellent verbal and written communication skills, including the ability to converse informatively with management and lawyers about records management issues, as well as ability to interact with external sources, including clients and other law firms.
  • A risk management mindset with strong attention to detail.
Expected salary for this role is $150,000 - $200,000, commensurate with experience, training, skills, qualifications, and other market factors.
